FAQ & Troubleshooting

General

How is Trevor AI different from a regular to-do app or calendar?

Trevor AI combines task management with calendar time-blocking. Instead of just listing tasks, you schedule them into specific time slots in your calendar — giving you a realistic plan for each day. Trevor's AI assists with duration predictions, smart scheduling suggestions, and a Plan My Day feature that can schedule your tasks automatically. See What is Trevor AI? for a full overview.

Is Trevor AI available on mobile?

Yes. Trevor AI is a web-based app that works on any modern browser, including mobile. Visit app.trevorai.com on your phone and use your browser's "Add to Home Screen" option for a more native experience. The mobile UI adapts with a bottom navigation bar — see The User Interface for details. A native mobile app is coming soon.

What's the difference between Free and Pro?

Free gives you everything you need to get started — task management, calendar time-blocking, Plan My Day scheduling, and AI chat with standard models. You're limited to one calendar account, one task account, and up to 3 scheduled recurring tasks.

Pro removes those limits and adds powerful extras:

  • Unlimited calendar and task accounts
  • Premium AI models
  • Smart scheduling queue for bulk task planning
  • Unlimited scheduled recurring tasks
  • Overdue rescheduling suggestions
  • Scheduling blocks for advanced time management
  • Scheduling insights and progress reports
  • Daily "Start My Day" email with personalized AI advice

Calendar & Sync

My calendar events aren't showing up

  1. Go to Calendar Options (main menu) and make sure the calendar is toggled to visible (not hidden).
  2. Check that the calendar account is connected in Account Settings. If it shows an error, click Fix it to re-authorize.
  3. Give it a moment — syncing usually takes a few seconds, but occasionally can take up to a minute after first connecting.

My scheduled tasks don't appear in Google Calendar / Outlook / iCloud

Make sure you've set a Scheduling Calendar that belongs to your connected account (Google, Outlook, or CalDAV/iCloud). If tasks are scheduled to the internal "Trevor AI" calendar, they won't appear in external calendar apps. Go to Calendar Options and star one of your synced calendars as the Scheduling Calendar. See Scheduling for more details.

If you already have tasks scheduled on a different calendar and change your Scheduling Calendar, Trevor will offer to migrate existing tasks to the new calendar (up to 100 at a time). You can also move individual events one by one — click on a scheduled event to open the event menu and use the calendar selector to move it to a different calendar. Note that recurring events cannot be moved, and some fields like meeting details or invitees may be lost during migration.

Sync seems delayed

Trevor syncs in real-time via webhooks for most integrations. If you notice a delay:

  • Check your internet connection.
  • Try refreshing the page.
  • For calendar integrations, verify the account is still connected in Account Settings.
  • Occasional delays (up to a few minutes) can happen due to provider-side webhook delivery.

Tasks

Will removing a scheduled task from the calendar delete it?

It depends on which action you use:

  • Unschedule — removes the calendar event only. The task returns safely to your Task Hub, ready to be rescheduled. This is the safe option.
  • Unfinished — keeps the calendar event (marked as partially completed) and returns the task to the Task Hub. Also safe.
  • Remove — permanently deletes both the task and its calendar event. This cannot be undone.

If you just want to take a task off the calendar without losing it, use Unschedule (from the event menu when you click a scheduled task) or Unfinished. Only use Remove when you want to delete the task entirely.

See Scheduling — Actions for Scheduled Tasks for the full list of actions.

Why can't I see my tasks?

  • Filtered out — Check if "Show Completed" or "Show Scheduled" filters are toggled off in the Task Hub control panel. Scheduled tasks are hidden by default.
  • Hidden list — The task's list might be hidden. Go to list management (Task Hub menu > Edit lists + hide and reorder) and make sure the list is visible.
  • Wrong integration account — If using Todoist, Google Tasks, or MS To Do, verify the correct account is connected in Account Settings.

How do I move a task to a different list?

Click the expand icon on the task (right side), then select Move to List and choose the destination list. Note that moving tasks between different providers or accounts (e.g., from Todoist to Google Tasks) is not supported — you can only move within the same account.

How do I set a task as recurring?

There are two ways to set recurrence — see Scheduling for full details:

  1. Recurring Task — Click the task's scheduling icon , then use the "Repeat" dropdown. The task will reappear in your Task Hub after each completion.
  2. Recurring Scheduled Event — Schedule the task first, then click on it in the calendar and use "Set Recurrence". This creates repeating calendar events.

Integrations

My integration is showing an error / not syncing

Once connected, integrations stay connected — they don't disconnect on their own. However, sync issues can occasionally occur if you revoke app permissions at the provider, change your account password, or if the provider experiences temporary problems.

When there's a sync issue, Trevor shows an error indicator next to the affected account in Account Settings (under Calendar Accounts or Task Integrations). Click the Fix it button to re-authorize with your provider — this refreshes your credentials without losing any data. Your tasks and calendars will resume syncing automatically once fixed.

See Integrations — Troubleshooting Sync Issues for more details.

Can I use multiple calendar accounts?

Yes, with a Pro subscription. Connect additional calendar accounts in Account Settings. You can show/hide individual calendars from each account in Calendar Options.

Todoist's Google Calendar integration is creating duplicates

If you have both Trevor AI and Todoist's native Google Calendar integration enabled, scheduled tasks may appear twice. Disable Todoist's Google Calendar integration in Todoist's settings to prevent this. Trevor handles the calendar sync directly.

AI Features

How does Plan My Day work?

The Plan My Day widget ( icon, top-left of calendar) analyzes your tasks and calendar availability, then generates scheduling suggestions for the current timeframe. You can accept all suggestions with one click or dismiss them. Choose your task source (all tasks, scheduling queue, or a specific list) and strategy (AI-powered or sequential) from the widget dropdown.

Can I talk to Trevor's AI assistant?

Yes — click the chat button (floating icon, bottom-right corner) to open the AI chat. You can create tasks, schedule events, check your calendar, and more using natural language. The assistant will ask for permission before accessing or modifying your data. See the full AI Chat Assistant guide for examples and tips.

Try it with AI Chat

Say: "Plan my day" or "What tasks are overdue?" — see the AI Chat Assistant page for the complete list of capabilities.
