The Scheduling Calendar
All tasks scheduled with Trevor AI are synced with the scheduling calendar. The Internal@TrevorAI calendar is created automatically and selected as the scheduling calendar by default. Tasks scheduled to Internal@TrevorAI are only visible within Trevor AI — they won't sync to external calendar apps (Google, Outlook, etc.).
Once you connect external calendar accounts, you can switch the scheduling calendar to any of their calendars via the star icon in Calendar Options (accessible from the main menu). For Google accounts, you can also create a dedicated "Trevor AI" calendar inside your Google account — a "Create Calendar" button appears in the post-connect dialog right after connecting your Google account, and is also available at any time from Calendar Options.
Scheduling Blocks
Scheduling Blocks are named time zones you can define in Account Settings to control when tasks are scheduled. Each block can be associated with a specific task list, and Trevor's AI scheduling suggestions will respect those hours when placing tasks.
Scheduling Blocks are a Pro feature.

Scheduling Methods
- Drag & drop a task from the Task Hub into the Calendar, at the desired day and time.
- Select a Smart scheduling suggestion or a Quick scheduling suggestion from the task's scheduling dropdown.
- Drag or press on your timeline to create a new scheduled task from the displayed text field.
- Add a new scheduled task with natural language date parsing (ex: "Walk the dog tomorrow at 10am")
- Select one of Trevor AI's auto-generated scheduling suggestions by clicking on a special suggestion event in the calendar timeline, presented as a coloured border with a title and no background.
Try it with AI Chat
Say: "Schedule my top 3 tasks for tomorrow morning" — the AI Chat Assistant can schedule, move, and manage events with natural language.
Actions for Scheduled Tasks
Click on a scheduled task in the calendar timeline to open its action menu. Actions are grouped below:
Task status
- Complete — marks the task and its calendar event as completed.
- Complete & stop recurring — completes the event and removes its recurrence rule (Google Calendar only).
- Unfinished — returns the task to the Task Hub ready to be scheduled again, and marks its event as completed. Previously known as "Partially Complete".
- Unschedule — returns the task to the Task Hub and removes the calendar event.
- Remove — permanently deletes the task and its event.
Remove deletes the task permanently
Unschedule and Unfinished are safe — they return the task to your Task Hub without deleting anything. Remove permanently deletes both the task and its calendar event. If you just want to take a task off the calendar and reschedule it later, use Unschedule instead.
Editing
- Quick Reschedule — move the event to another time using preset options (today, tomorrow, next week, etc.).
- Change start time / end time
- Change title
- Change the task's list
- Move to another calendar — moves the event to a different calendar account. Note: recurring events cannot be moved, and some fields (meeting details, invitees) will be lost.
- Set recurrence rules (Google Calendar only)
- Add reminders (Google supports multiple reminders; Outlook supports one; other providers have no reminder support)
- Write in the note field
Overdue and Past Due Tasks
Trevor AI uses visual indicators to highlight tasks that need attention:
Overdue Tasks
A task becomes overdue when it has been scheduled as a calendar event but the event's time has passed without the task being completed. Overdue tasks are highlighted in the Task Hub with a red date and a clock icon Mar 20, and are visible by default even though they are scheduled.
Overdue tasks are also shown as smart rescheduling suggestion events in the calendar timeline, which you can tap on to accept the suggestion. Some actions for overdue suggestions may be a Pro tier feature. You can filter the Task Hub to show only overdue tasks using the "Show Overdue" filter.
Past Due Tasks
A task becomes past due when it has a due date that has passed but the task has not been scheduled yet. Past due tasks are shown with a red date and a target icon Mar 20 in the Task Hub. If a past due task is in the Scheduling Queue, it is highlighted with an orange color to indicate urgency.
Due Date Mismatch
If a task with a due date is scheduled after that due date, the calendar event displays a mismatch indicator with a tooltip showing the original due date. This helps you notice when a task has been pushed past its deadline, so you can adjust the due date or reprioritize as needed.
Recurrence Rules
Trevor AI offers two separate types of recurrence rules.
Flexible Recurrence
Flexible Recurrence is set via the task's expanded field — click the scheduling icon and select "Repeat". The task repeats on a schedule but is not pre-scheduled in the calendar; instead it reappears in the Task Hub at each recurrence, ready to be scheduled individually.
This is ideal for recurring tasks that happen at different times each week. Flexible recurring tasks can also be automatically added to the AI Scheduling Queue to make it easy to find time for them.
Flexible Recurrence is available on all plans.
Scheduled Recurrence
Scheduled Recurrence is set from a scheduled task's event menu — click the task in the calendar and select "Set Recurrence". Like recurring calendar events, all past and future recurrences are shown in the calendar timeline at the same time slot. Each recurrence can be moved, resized, or completed individually, making this ideal for fixed habits and time-tracked routines.
Note: Scheduled Recurrence is only available for tasks scheduled to Google Calendar. The free tier includes up to 3 Scheduled Recurring Tasks; Pro removes this limit.
